Key points

Decide which objects will leave home

Create an item list with identifier, working name, quantity, dimensions or weight, packaging and visible damage. Pair each line with complete photographs before packing.

Separate materials so metal, paper, stamps and fragile objects receive suitable support. Match original boxes, certificates and loose attachments to their item numbers.

Share only the information needed

Remove identity cards, address letters, bank papers, house numbers, family photographs and unrelated documents from the camera area. Strip location metadata from a sharing copy where appropriate.

Redact names, addresses and account details on provenance documents while leaving relevant dates, object descriptions and reference numbers visible. Keep the unredacted original secure.

Reject Requests for Security Access

Never provide one-time or payment passwords, full identity documents, account logins, remote-control access or permission to install unknown software.

Confirm the address, time, companion and item list before departure. Use two people for heavy or fragile loads and avoid placing different materials where they can press against one another.

Confirm Authority and Consent

Write down which objects and decisions a family agent is authorised to handle, and keep the same limited authority with both parties.

Obtain specific consent before opening, cleaning, testing, mount removal or separation of joined material; inspection alone grants none of those actions.

What the Privacy-Safe Handover Trail Contains

Count everything before transfer and repeat the same count on return. Photograph changed seals, new damage, missing parts or unexpected contents immediately and add a discrepancy note.

Keep proposed terms or findings pending until they are written and accepted. A verbal direction should not overwrite the inventory or consent boundary.

Before departure, compare the agreed item list with packages, seals and attachments, carrying only the objects and minimum documents named for the meeting.

Review every photograph for personal information, verify that the shared copy contains no location metadata, and confirm that item numbers still match packages and files.

Carry only the agreed objects and minimum documents, retain the acknowledged list, and stop any unapproved handling. On return, check the condition before putting the collection away.
